BACKGROUND
Since 1971, Peoples Christian Academy (PCA) Inc. (“PCA”) has been offering education at both the elementary and high school levels. Additionally, PCA operates an Early Learning Centre. PCA is a registered charity under the Income Tax Act (Canada) and is governed by an elected Board of Directors.

Each employee at PCA must have received Jesus Christ as his/her personal Saviour and believe that the Bible is God’s Word and standard for faith and daily living. The employee shall be a Christian role model in attitude, speech, and actions toward others. He/she shall also be in wholehearted agreement with PCA’s Statement of Faith and Core Family Values, and be a member in good standing at a local church that has
a statement of faith and core family values in agreement with PCA’s. He/she shall have the spiritual maturity, personal qualities, and professional qualifications to serve the PCA community in his/her role in accordance with these requisite beliefs and values.

JOB PURPOSE AND SUMMARY
Reporting to the Business Manager, the (part-time) Facilities Administrator supports the bookings of the school facilities. Examples of the booking types we typically look after (but are not limited to):
  • Weekly evening rentals
  • Weekend bookings
  • After-school extra-curricular programs and summer camps
  • In-house school events

DUTIES AND RESPONSIBILITIES

Facility Rentals
  • Answers inquiries, provides information and determines the corresponding fees for the rental of the school facilities and fields for both internal and external clients
  • Evaluates the prospective users’ applications in accordance with the school’s policy and availability
  • Generates quotes to prospective renters in accordance with the school’s policy and fee schedule
  • Generates rental reports for the custodial and security coverage for weekend and facility rentals and confirms demand with the Facilities Supervisor
  • Prioritizes and schedules school facilities, field rentals, classrooms, maintenance demands, and both internal and external clients as per the school’s regulations
  • Invoicing for and collection of rental fees
  • Process rental payments and cheques/cash deposits to the bank

Extra-curricular Programs (after school)
  • Oversee, design, and launch extra-curricular program registration (fall, winter and spring sessions)
  • Prepare/Update Registration Packages
  • Review and update, as necessary, policies for extra-curricular programs (registration, cancellation, and refunds)
  • Answer parents’ inquiries regarding registration policies and program information
  • Invoicing for and collection of registration fees, and depositing cheques/cash to the bank
  • Coordinate with VPs and teachers regarding classroom assignments
  • Coordinate with teachers in sending students to each registered program before lessons
  • Maintenance of all records associated with these programs
  • Maintain certain program schedules
  • Process vendor invoices and refunds associated with these programs, as needed
  • Handling inquiries regarding these programs
  • Coordinate with the Homework Club team to ensure student safety during intermissions before and after lessons

KNOWLEDGE, SKILLS AND ABILITIES
  • Analytical, a quick learner, strong computer skills, including but not limited to MS Word, MS Excel, Gmail, and Google Forms
  • Ability to work with minimal supervision
  • Excellent communication skills
  • Outstanding organizational ability
  • Great attention to detail
  • Analytical, ability to multitask, and quick learner
  • Good judgment and decision-making aptitude

QUALIFICATIONS
  • Minimum 3+ of administrative or related work experience
  • Education: Business Administration diploma or similar
  • Bilingual in English and Mandarin and/or Cantonese is an asset, but not required
